BLOC Conference Booking Terms and Conditions

The terms below apply to your booking for the BLOC National Conference to be held at the Crowne Plaza, Stratford upon Avon on 17th and 18th June 2026 (the “Event”). By ticking the box to indicate that you accept the terms and conditions, you agree to comply with and be bound by all these terms and conditions.

We strongly recommend that you read the terms before accepting.

The Event will be held by BLOC Services Group Limited (BLOC)and managed by BLOC and Crowne Plaza.

1.0 Making Your Booking

1.1 You may change the name(s) on your booking. Where possible, all requests for changes are to be made in writing (via email) to BLOC to the provisions of Section 5 below.

1.2 You may make a booking on someone else’s behalf. You are responsible for ensuring that any delegate in your booking complies with these terms as if that delegate had made the booking.

2.0 Payments

2.1 BLOC will invoice members / suppliers for the applicable charges for the Event.

2.2 The following payment methods are acceptable:

2.2.1 BACS – A VAT Invoice will be sent to the email address you have provided. Payment will be required within 30 days.

2.2.2 Cheque Payment – A VAT Invoice will be sent to the email address you have provided. Payment will be required within 30 days.

2.3 If we do not receive payment by the due date, we reserve the right to cancel your booking without prejudice to our right to claim costs, compensation for loss and damage incurred and interest.

2.4 If there are any additional costs incurred during the Event which may include, but are not limited to additional delegates, dinner charges, accommodation etc. incurred during the Event, a VAT Invoice will be sent to the email address you have provided, and payment will be required 14 days of the invoice.

3.0 Hotel Terms

3.1 You are solely responsible to comply at all times with the hotel’s policies and guidelines available on request and shall be solely liable for any damages or costs resulting from your non-compliance with such policies and guidelines.

3.2 You are responsible for paying all room extras directly to the hotel. If payment is not made at check-out and BLOC are required to make the payment on your behalf, BLOC reserves the right to charge you a fee of 10% of the costs payable to the hotel.

4.0 Cancellation or transfer of booking

4.1 If you wish to cancel your booking prior to the event, written cancellation must be received by BLOC at , no later than 12h00 on 21st May 2026. Such cancellation will not release you from your liability to pay any outstanding payments in connection with your booking.

Cancellation from 4 to 12 weeks before the first day of the event

0% of total cost of your booking

Cancellation from 3 to 4 weeks before the first day of the event

50% of total cost of your booking

Cancellation Less than 3 weeks before the first day of the event

100% of total cost of your booking

4.2 Where You make a transfer in accordance with Section 5 you will remain liable to us for payment of any charges and for any additional costs arising from such transfer.

5.0 Change Requests

5.1 Any change to your booking requested may include, but is not limited to, change of dates, duration of stay, number of people attending, additional accommodation required etc.

5.2 Any requests for change of your booking must be directed in writing to BLOC

5.3 You may ask to change your booking as set forth in this Section and such request shall be subject to availability.

5.4 If we do not receive payment for the requested changes by the date stated on the invoice, we reserve the right to cancel your booking without prejudice to our right to claim costs, compensation for loss and damage incurred and interest.

5.5 BLOC reserves the right to charge any additional costs, which may include, but is not limited to, change of dates, duration of stay, number of people attending, additional accommodation required, post event and payment should be made within 14 days

6.0 Relocation

6.1 If the circumstance requires, then BLOC reserves the right to:

6.1.1 Arrange alternative reasonable accommodation.

6.1.2 If there is no reasonable alternative hotel accommodation available, cancel your booking and refund you the fees paid for the unavailable room(s).

7.0 General

7.1 As the organisers, Crowne Plaza and BLOC will manage the event in good faith and in conformance with industry standards. Under no circumstances will either Crowne Plaza and BLOC be held responsible or liable in any way for any claims, damages, losses, expenses, costs or liabilities whatsoever arising from any case of force majeure, unlawful mass protest, riots, theft, natural disasters, flood, earthquake, extreme adverse weather conditions, other acts of God, acts of terrorism and further unforeseen circumstances or adverse event, act, omission or accident which happens which are beyond our reasonable control.

7.2 We reserve the right to change these terms from time to time.

7.3 We reserve the right to amend the agenda for the Event without prior notice and will not be liable for cancellation or rescheduling of the Event for any reason other than as specifically stated in these terms.

8.0 Severability

If any term or provision in these Standard Terms and Conditions shall in whole or in part be held to any extent to be illegal or unenforceable under any enactment or rule of law, that term or provision or part shall to that extent be deemed not to form part of these Standard Terms and Conditions and the enforceability of the remainder of these Standard Terms and Conditions shall not be affected.

9.0 Impossibility

9.1 Neither party shall be responsible for failure to perform this agreement if circumstances beyond their reasonable control (including, but not limited to, acts of God, governmental authority, declared war in the country in which the Hotel is located, or terrorist attacks in the city in which the Hotel is located) make it illegal or impossible for us to hold the Event. The affected party may terminate this agreement without liability upon providing written notice to the other party within ten (10) days of any such occurrence.

9.2. If the Event is properly cancelled by you due to a valid impossibility occurrence as described above, then upon your written request, we agree to refund to you all prepaid deposits or advance payments paid by you to us without penalty, less any expenses we have incurred in preparation for the Event.
